Receptionist – Part-Time - £8.53 per hour
North Somerset. 5 days / 20 hours per week. You must be eligible to live and work permanently in the UK and have fluent spoken and written English. The job is to provide a warm, welcoming, courteous, friendly, helpful and efficient service to visitors and staff alike, and deal calmly and professionally with calls on a busy switchboard. You will be member a team of 4 who will operate as part of a job-share arrangement to cover holidays for their job share partners and holiday and sickness cover within the team. To assist communications within the team there will be quarterly meetings, with these extra hours being paid as overtime. The day-to-day routine will start with opening up Reception and ensuring all is tidy and ready for the day. Checking any messages left on the switchboard during closure periods, and passing on accordingly either by phone or email. On any unclear messages, ring caller to clarify beforehand, then take switchboard off Voicemail for 8.30 am start for incoming calls to deal with throughout the day. Check-in visitor training sheets for the day. Plan rooms for meetings booked in online. Monitor staff on holiday/off site/ meetings/sickness, etc. Keep daily records up-to-date throughout the day to avoid wasting time trying to locate staff who are not on the premises. Meet and greet visitors and contact relevant member of staff ensuring all visitors sign in and are issued with a badge and necessary Hi-Viz vests. Forward incoming faxes to appropriate individuals by email. Sign for courier deliveries: record and distribute accordingly. Issue and recording of training certificates using database. Messages to be passed on from callers and/or emails sent to relevant staff members. Invoices/credits from Accounts and Sales and Monthly statements daily to be put in envelopes for posting. Confirmation of hospitality bookings no later than 48 hours before each event where food is required and advising of any changes to Post Room and Hospitality Provider.
